WRITE YOUR NAME AND ADDRESS

This information is usually displayed at the beginning of the cover letter. You can write your name and all your contact details below, or you can just list these one by one in separate rows.

ADD THE DATE

After entering your personal information, you need to include the date of the day you are sending your cover letter. This date should be placed in a visible area, preferably after your personal details and before the recipient’s information.

Right after the date, it is time to enter the company’s or employer’s information. If you do not know the name of the hiring person, you can simply enter the company name and address.

START WRITING THE BODY OF THE COVER LETTER

In the third paragraph, you can explain in more detail about what you have achieved and how it can be applied to this role. It is not recommended to repeat what is already written on your resume. The final paragraph is basically the conclusion. In this part, you can again point out the reasons why you are applying and why you are a great candidate for the role. Try to keep it short and do not forget to mention that you are looking forward to hearing from the recruiter soon. Lastly, you can finish the cover letter with a “Sincerely” or “Kind regards” line, and below you sign with your name. Now it is time to review everything you have written. Go through the whole text as many times as needed. Having misspells or grammar errors will give a bad impression to the recruiter. Once you are sure the cover letter is ready, it is time to send it.

CHECK THE WAY TO SEND IT

Some companies require the cover letter to be emailed as an attachment, preferably in a PDF format or included in the body of the email. It is important that you make sure how they want it to be sent, otherwise your application may be dismissed. The next steps apply to the emailing format. If the recruiter does not allow attachments for security reasons, simply copy and paste your cover letter to the body of the email. Do not forget to remove some of your contact information, as they are already displayed in the email details.

WRITE A RELEVANT SUBJECT LINE

As recruiters usually receive many applications for different roles, if your subject line is not informative enough, its visibility may be reduced. You need to make it easier for the hiring manager to quickly identify your application. The subject line should include relevant information, such as your name and the position you are applying for. The structure can be as follows: Cover letter – Job title/position – Your full name.

SAVE YOUR LETTER FILE PROPERLY

Use file formats such as pdf or doc to maintain your cover letter’s structure. Pay attention to how you name the file. It is recommended to write your name first, followed by “Cover Letter”. For example, John Doe – Cover Letter. Once saved, attach the file to the email.

WRITE A SUCCINCT EMAIL MESSAGE

Here you can simply make the recruiter know that you have attached your resume for the correspondent position you are applying for. Do not leave the body blank, it will neither look trustworthy nor professional.

Dear [Recruiter],
Please find attached my resume and cover letter for the [Job] position.
If there is anything else you would need, please let me know.
